Share Calendar And Contacts Outside The Organization Using Microsoft Outlook
On the Permissions tab, the Calendar Properties window opens, showing who currently has access to your calendar. By default, Outlook is set so that everyone in your organization can see your busy schedule, but nothing else.
Your IT staff may have changed this in various ways, so we focus on sharing your calendar with someone in your organization. In the EAC, under Recipients > General, double-click the public mailbox you created in the previous step, and then select Mailbox Delegation.
Under Full permission, select Add, and then select the security group that you want to have access to the shared calendar and contact list for the shared mailbox. If you receive sharing policy errors when you try to send calendar or contact file sharing requests to people outside your organization, the required sharing policy settings are not configured in your organization’s sharing policy.
Sharing contact and calendar information with people outside your organization must be enabled by your organization’s Microsoft 365 administrator. The process is quite simple, but it may not help if your recipient is using a non-Microsoft product.
How To Create An Event In The Outlook Calendar
We’ll show you how to add a public calendar to Google Calendar, since it’s the most popular calendar app, but you can add a public calendar to almost any decent calendar app you care to mention.

Availability only shows the time of items in your calendar. If you are a Microsoft 365 administrator, you can change the default sharing policy for your organization if you want to allow people in your organization to share complete calendar information with people outside of your organization.
You can also allow people in your organization to share your contacts file with people outside of your organization. In Microsoft 365, select the plan your organization subscribes to. If the external user’s organization and your organization are integrated through Microsoft 365 or Exchange, they will see your calendar under People’s Calendars.
However, if the external user’s organization and your organization are not integrated through Microsoft 365 or Exchange, the user will need to access your mailbox by clicking on the URL in the body of the message.
After you add another calendar, you can select it to add or remove it from the calendar view, or use the context menu to rename, change the color or remove it from the view. If you want to request access to a contact folder other than the recipient’s default People folder, you must send an email requesting permission to the folder.
