Sharepoint Calendar Overlay – Based on my personal experience and observations, group calendars are the most requested feature in SharePoint intranets (after document libraries of course). From tracking company holidays to company calendars to vacations, we all need a place to keep track of the events of our busy office life.

When I worked in the corporate world, for example, I used the group calendar to see when my boss was out of town so I could sneak out of the office earlier that day :-). In this post, I want to explain all the calendar options available in SharePoint and Office 365, and list their pros and cons.

To be clear, I’m only talking about the group calendar options, not individual ones. Why are not all list columns available in the “Select Columns” drop-down list for “Create Rule”? Do I only see the Title and Start and End date columns?

Option Calendar View On Any List Or Library

I imagine most users want to display the person’s name in the calendar, but color code the entry with the VacationType column. This is somewhat related to the option above. You can create a calendar view on any list or library in SharePoint.

Let’s say you have a document library where you track invoices. And some pieces of metadata are receipt date and expiration date. You can create a calendar view and display dates in calendar format. In this example, I have a list of vacation requests, and I want to display the list as a vacation calendar and color-code the items based on the type of vacation request.

My leave request form looks like this. I want to have a calendar where each holiday type is displayed in a different color. Calendar overlay is a feature in SharePoint Online that allows users to combine multiple calendars into one view.

With Calendar Overlay, you can create a calendar that displays events from multiple sources in a single, unified view. To view multiple calendars as a single calendar in Office 365, you need to follow the steps mentioned above.

This is the only real option you have for option 1 (SharePoint Calendar). You can use an Outlook calendar that’s part of Office 365 Groups. Unlike options 1-3, this calendar resides in Outlook (Exchange), not SharePoint.

And unlike option 4, this is a true “group” calendar. Historically, this was the only option for managing events in SharePoint. Behind the scenes, a SharePoint calendar is a SharePoint list, with rows for events and columns for metadata (event title, location, start date, end date, etc.).

This color coding concept formerly existed for classic calendars in SharePoint and was called Calendar Overlay. Now this is done in a completely different way using View Formatting on the Calendar View. Using the old classic views is no longer encouraged in SharePoint.

Hi.. I’m using a calendar view for a custom SharePoint list for conference room bookings that require approval. We have 4 rooms available and a customer can potentially book all 4 per unit (they are form fields).

Classic allowed us to create 4 overlays, one for each room, and then show them all together in one view, which was large enough to show how many rooms were booked by a user that day.

Microsoft lists are SharePoint lists, and these lists can appear as calendars. Conditional Formatting is now possible on Calendar views! This means you can color code your calendar based on column values ​​such as event category.

Is there any way to change the calendar view to weekly view? The monthly view only shows one item for me, plus the “+x items” icon, which I don’t find as useful as the weekly calendar view.

Old Way Overlays

Another option for tracking milestones and dates is through a task list. Each task list has a built-in view called Calendar. So if you’re tracking milestones via a task list, you can easily visualize the tasks using the calendar view (without having to recreate the same milestones in a separate calendar).

Calendar Overlay is a great feature in SharePoint that allows you to layer the contents of multiple calendars into one easy-to-read, color-coded calendar view. Use this when you manage multiple calendars in your SharePoint environment, but want to have a consolidated view of all events in those calendars.

For example, you can have a calendar for your team and a calendar for your organization. You can combine them and see all the events from both calendars (technically up to 10 calendars) in one view.

I’m trying to create a master calendar that includes overlays from other teams’ calendars in SharePoint, but these error messages persist whether I leave the default URLs or insert URLs from other teams’ calendar pages.
