View Calendar Outlook – On the Calendar page, choose whether users want to share their calendars with people outside your organization in Microsoft 365 or Exchange. Choose whether to allow anonymous users (those without login credentials) to access the calendar via email invitations.

As an administrator, you can enable calendar sharing for all users in your organization. With sharing enabled, users can use Outlook Web App to share their calendars with anyone inside or outside the organization. People in your organization can view shared calendars and their own calendars.

People outside your organization will receive a URL that they can use to view the calendar. Users decide when to share, how much to share, and when to keep their calendars private. Here you can change the settings for the current display.

View Settings

Add different columns (end date, series range start/end, start, end date, etc.), calendar groups and more. Here you can set conditional formatting for entries that meet specific criteria, such as always retaining the color “red” for appointments with the words “monthly demo”.

This is very helpful in customizing the calendar and matching it perfectly to your style and personality. Pinning the calendar to the desktop is very helpful for most people. But, as I mentioned, you can add all your Outlook windows for easy access, and the more monitoring rooms you have, the more efficient you’ll be.

Browsing your Microsoft Outlook calendar without clicking anything has its advantages, and is very convenient. The good news is that it can’t be easily arranged. Even better if you use multiple monitors. You can find it and leave it.

With a quick head turn, you can instantly see where to go next! In this article, I’ll show you some simple tricks to use your Outlook calendar. To add a calendar, click Add Calendar below. You might be a little surprised at what’s available.

How To Pin Other Outlook Windows

The first pane displays a list of available calendars—not your calendars, but public calendars as shown in Figure E. Click on TV and select a time zone. Select a channel or network to see what’s on now!

Click on some shows to add to your calendar. To delete a calendar, right-click it and select Delete Calendar. Calendar isn’t the only Outlook window you can pin to your desktop. In the lower left corner, you’ll see Outlook icons: Mail, Calendar, People, and To-Do.

Click one to open a window. Then, like you would a calendar, pin it to the taskbar or leave it unpinned. Your work needs will determine the different windows you fit. When you create a meeting invitation, you can see if other people are available or busy, but you can’t see any other information about their schedule (ie meeting title, who’s invited, or where).

The default layout or “view” of events and reminders in your Outlook calendar may not be to everyone’s liking. But the good thing is that you can change it to your liking. You can schedule appointments and your overall schedule in several ways in the Outlook calendar interface.

View Two Time Zones In The Week View

If you want to share your calendar with an organization using Exchange Server 2013 (an on-premise solution), your Exchange administrator must establish an authentication relationship with the cloud. This is called “joint” and must meet the minimum software requirements.

Change View

For details, see Sharing. Deploying new PCs and desktop and laptop migrations are common but risky tasks for managed service providers. The saying “your performance is only as good as your last performance” certainly applies. MSPs and their technicians can do it all, complete customers’ complex cloud migrations and implement remote work schedules and proprietary business application upgrades… with the calendar open for the current date and time.

But it will last all day; Scroll up for morning appointments or scroll down for afternoon appointments. Notice the calendar icon on the taskbar. Right-click the icon and select Pin to Taskbar. To close the calendar, click the close icon (X) in the upper right corner of the calendar.

Click the calendar icon on the taskbar to quickly access it again! I am using Microsoft 365 on Windows 10 64 bit. I recommend waiting to upgrade to Windows 11 until all issues are resolved. This article does not apply to Outlook Online and does not include a demo file.

And, calendars aren’t just for viewing. You can work with the calendar in the same way as in Outlook’s Calendar window. You can change, delete or add an appointment and Outlook will save it. To change the viewing mode, click the three dots in the upper right corner of the calendar and select a different mode.

More Calendars

Outlook remembers this pattern even if you close the calendar. Manage

Figure C shows its main menu. In most cases, you can change the basic settings for all Outlook windows open at the desktop level. You can explore this later. There’s a lot to hide. To close Settings, click anywhere in the Outlook window outside of the Settings pane.

Outlook Options

When working with partners in different time zones, it is helpful to see both time zones in the week view. For example, when I schedule a meeting in my New York office (Eastern time zone), I want to see my Australian colleague’s schedule (Brisbane time zone) so I don’t schedule her during non-working hours.

Here you can switch a whole set of options to view appointments and calendar entries between different presets. One of the most commonly used presets is List, which displays a list of appointments and events that you can sort by date or reminder or any other factor.

This is useful when you don’t have many appointments, so you can avoid manually scrolling through each date or week. You can view recent events by selecting the list and sorting by last date. You can modify presets or create new ones.

In the upper left corner of the calendar window, you’ll see a cheeseburger icon. Click on it to open the navigation pane shown in Figure D. (This is an alternate icon; click it to close the navigation pane.) You’ll see the entire month;

Click on any date to view events for that day. In the middle, you’ll see your calendar. Check to remove, add or deselect a calendar from the display. But if someone wants to share their calendar with you, you can see those items in more detail.

Depending on the level of access they give you, you can also change plans. Go to File -> Click on Options. Here you will find countless options and settings to change the defaults and fine-tune Microsoft Outlook and Calendar to everyone’s liking.

You’ll also find settings for Mail, Tasks, People/Contacts, and more, but for now, we’re only talking about changing the “look” and layout of your calendar. If your working hours are not traditional, you can set the workweek view to show only those working hours.

For example, if you are a nurse, you only need to see your 12-hour shift from Sunday to Tuesday at the hospital.
